For Ontario plaintiff-side employment firms

Turn one active employment matter into a clearer, review-ready client record.

Launch a firm-led Case Record service that helps clients preserve workplace emails, messages, documents, photos, and notes while they are still available—then gives counsel an organized chronology, evidence index, and source-linked record to review.

You keep legal judgment. Your client retains their originals. We help implement the workflow.

Why start early?

Preserve the record before it becomes a reconstruction exercise.

In employment matters, access to work email, messages, documents, and systems can disappear quickly. When records arrive late, incomplete, duplicated, or out of sequence, the team must reconstruct context before it can assess the matter.

Access changes

Work accounts, devices, and portals may no longer be available.

Context goes missing

Screenshots, attachments, and conversation threads often arrive without their surrounding record.

Review time expands

Dates, versions, and supporting documents have to be tracked down later.

A service, not another client subscription

A defined client service your firm can choose to price.

EviProof sits behind a firm-led Case Record & Evidence Preservation Service. Instead of asking a client to navigate another software subscription, your firm defines the service, instructs the client, reviews the record, and decides how it fits your retainer or matter plan.

  1. 01

    Define

Set the client scope and fee.

  2. 02

    Invite

Give the client a guided workspace.

  3. 03

    Review

Use the chronology and source links to assess the record.

  4. 04

    Prepare

Select material and create the handoff package when appropriate.

How it works

A record that develops with the matter.

Start with one suitable matter. Your firm directs the client, reviews the sources, and decides what belongs in the final handoff.

  1. 01

    Invite

Your firm invites the client to a guided matter workspace.

  2. 02

    Preserve

The client adds selected records as events happen.

  3. 03

    Connect

DocuProof organizes the available record into a chronology with source links.

  4. 04

    Review

The system surfaces questions; counsel reviews sources and decides next steps.

  5. 05

    Export

Counsel selects the materials for a traceable Case Export Package.

Product proof

Built on a verifiable record.

Verification supports review. It does not prove a file’s truth, admissibility, original creation date, or a complete chain of custody before intake.

Source-linked timeline

Selected records are connected to their source and place in the matter timeline.

File fingerprints and available trusted timestamps

A later file can be checked against the recorded fingerprint. A timestamp dates the verification record—not the file’s original creation or truth.

Completeness review

Missing attachments, incomplete threads, unlinked items, and conflicting dates can be surfaced for counsel to assess.

Your files stay with you

Keep your storage. Understand the processing.

Use the storage your firm already has. Originals remain in your provider account; EviProof can read connected files and create processing copies.

Selected files flow from your drive to EviProof for text extraction, verification and report generation. Processing copies, extracted text and verification records are kept in our application systems. EviProof hosts its core application and primary application storage in the USA.

When you use AI features, relevant content is sent to AI providers for analysis and may be processed outside the application’s hosting country. Other supporting services may also involve cross-border processing. Country-only processing requires written confirmation for the specific features and service scope.

Practical questions

Before your first matter.

Privacy policy · Data Processing Addendum

Do we have to move our files?

No firm-wide migration is required. You can connect OneDrive, SharePoint, Google Drive, or Dropbox where supported. Originals remain in your provider account. Connected features can create processing copies, extracted text, and verification records in EviProof.

Is this legal advice or evidence selection?

No. Your firm decides what clients should preserve, assesses relevance, gives legal advice, and selects evidence. EviProof organizes the available record and can surface questions for counsel to review.

What does verification tell us?

Verification checks whether a later file matches its recorded digital fingerprint. Available trusted timestamps date the verification record. They do not prove truth, admissibility, original creation date, or a complete chain of custody before intake.

What does the client do?

The client follows the firm’s instructions and adds selected workplace emails, messages, documents, photos, notes, and available context while those records remain accessible. The firm reviews the resulting record.

What happens after the 60 days?

There is no required rollout afterward. Your firm reviews the workflow and resulting record, then decides whether and how to use and price the service for future suitable matters.

How are processing and AI handled?

Selected files can be processed for text extraction, verification, and report generation. When AI features are used, relevant content is sent to AI providers and may be processed outside the application’s hosting country. AI findings point back to sources; counsel checks context and makes legal decisions.
